Information you give us.

• Site analyzer. The website domain you submit, and, if you ask for your results, your name, company and email address.
• Booking a call. Your name, company, email address and the time you choose.
• Newsletter. Your email address and the page you signed up from.
• Contacting us. Whatever you include when you email, call or message us on WhatsApp.

Information collected automatically. Our hosting provider records standard server logs (such as IP address, browser type, pages requested and time) to keep the site running and secure. If, and only if, you accept analytics and advertising cookies, Google Analytics and Google Ads also collect information about how you use the site. See the cookie policy.

Website scans. When you submit a domain, our analyzer reads that site's publicly available pages, the same way a browser or search engine would, and stores the results so we can discuss them with you.

• To produce your site score and the fuller report we review with you on a call.
• To schedule calls, send calendar invitations and video-call links, and prepare for the conversation.
• To follow up about the service you asked about and, if you subscribed, to send our newsletter. Every marketing email lets you unsubscribe.
• To prioritize follow-up. We may use internal tools, including automated scoring, to decide which enquiries to answer first. These tools never make decisions that have legal or similarly significant effects on you.
• To understand which pages are useful and to measure our advertising, when you have accepted those cookies.
• To keep the site secure, prevent abuse and meet legal obligations.

We use a small number of service providers who handle information on our behalf and only for the purposes above:

• Vercel: website hosting and server logs.
• Google: Google Workspace (email, Sheets for our lead records, Calendar and Meet for calls), and, only with your consent, Google Tag Manager, Analytics and Ads.
• Resend: internal email notifications to our team when an enquiry arrives.
• Meta (WhatsApp): only if you choose to message us there.

We may also disclose information if required by law, to protect our rights or the safety of others, or as part of a merger, acquisition or sale of the business, in which case this policy continues to apply to it.

We do not sell personal information, and we do not share it for cross-context behavioral advertising unless you accept advertising cookies. You can withdraw that at any time with Cookie settings. We treat a browser's Global Privacy Control signal as a request to keep those cookies off.

We keep enquiry, scan and booking records for up to 24 months after our last contact with you, unless you become a client (then our agreement governs) or the law requires longer. Newsletter subscriptions last until you unsubscribe. Server logs are kept for the hosting provider's standard period.

• Ask what personal information we hold about you and get a copy.
• Ask us to correct it or delete it.
• Unsubscribe from marketing email at any time.
• Accept, reject or change analytics and advertising cookies.

Depending on where you live, you may have additional rights under your state's privacy law, including the right to appeal a decision we make about your request. Email info@ottoflow.ai from the address you used with us. We will verify your request and respond within 45 days, and we will not treat you differently for exercising your rights.

Access to lead records and reports is restricted to our team and protected by sign-in. Credentials we hold for connected services are encrypted at rest. No method of transmission or storage is completely secure, but we work to protect what you share with us.

This site is for businesses and is not directed to children under 13. We do not knowingly collect their personal information. If you believe a child has given us information, contact us and we will delete it.

We are based in the United States and our providers process information in the United States. If you contact us from elsewhere, your information will be transferred to and processed in the United States.

When we change this policy we update the date at the top. If a change materially affects how we use information we already hold, we will tell you before it takes effect.
